Inventory each shareholder separately
An individual and a foreign company provide different evidence. For an individual, prepare identity, residence and available identifiers. For a company, organise legal existence, articles, representation and beneficial control. Record each document's date, language, issuer and subject. A shareholder-by-shareholder table makes missing items visible and assigns responsibility before a single unresolved document holds up the whole formation file or a signature appointment.
Separate translation from authenticity
For the online incorporation service described, Justiça exempts documents in Spanish, French and English from certified translation into Portuguese. This is not a general exemption covering every procedure. Translation explains content; authentication addresses a different aspect of the record. Confirm the actual requirements before ordering an apostille or certified translation for every foreign document simply because it was issued outside Portugal.
